Management KPI - Technician utilisation percentages

Netsuite Key Performance Indicators, or KPIs, shape our raw data into critical business metrics that we can see right on our dashboard in the formats we choose.

Netreturn (via Deb Reidy) has shown us their Consultant Utilisation Summaries, which Management display on their dashboards. These summaries are in a table format, with column headers titled Consultant, Avail Hrs to Bill, Timesheet Hrs, Billed Hrs, % utilisation and GAP.

NetSuite Invoice Billable Customers

You can bulk invoice customers for billable expenses, items and time when you use the Transactions>Customers>Invoice Billable Customers feature. Bulk billing can decrease the time you spend billing customers.

For each transaction you mark as billable, an invoice is created using your preferred invoice form. The Results page lists all invoices created in this bulk process.

There are time saving benefits for administrative staff at Maintenance Essentials in deploying this feature of NetSuite.

Collecting money from customers (debtors) is critical to maintaining good cash flow. While Maintenance Essentials has a standardised process, every customer and each debt must be considered on its own merit.

Debt collection is ultimately the responsibility of the company accountant. however this person may nominate other people to carry out specific tasks.

Netsuite Updates

Netsuite Periodic Software Upgrades

Periodically there are upgrades made to the version of Netsuite we use. Typically these version upgrades are preceded by a period of testing and review. In order to minimise any disruption to users, when an upgrade is scheduled to take place, it will normally occur over a weekend. (e.g. often a Saturday night).

After an upgrade there are often a number of new features made available. Netsuite supports users by making available training documents on these new features for download in PDF format.

Entry form changes

In order to create a case in Netsuite a default 'entry form' is used. This entry form is continually re-evaluated in light of user feedback and ease of entry. Should a change be made, this change can take the following forms. e.g.

  • Existing fields may re-arranged on the form.
  • Dropdown lists may be changed for a particular field on the form
  • New fields may be introduced or deleted
  • Help descriptions may be modified and updated

Creating Templates and Mail Merge in Netsuite

Background

Letter templates are Microsoft Word documents you create to use in mail merge operations. Letter templates are used to generate personalized letters that you can print using Word and then mail to those you do business with.

Letter templates are created outside of NetSuite using Microsoft® Word and then uploaded to the Letter Templates folder of your file cabinet.

Letter templates can contain CRMSDK tags that refer to specific information in your NetSuite data.

There are a few required forms necessary for all employees to complete these include;

Employment Application Form

All new employees are required to complete an employment application form. This form is used to collect important information about new employees such as;

  • Name & contact details
  • Emergency contact

  • Tax file number
  • Superannuation fund details
  • Uniform requirements (size, type, etc)
  • Personal Protective Equipment (PPE) requirements

The form should be filled as soon as possible after the employee has accepted the position.

NetSuite Locations

Locations are used in NetSuite to define the physical location of an employee, office or warehouse. This is a required field on most transactions enables you to track and report on information about employees and transactions for offices or warehouses.

NetSuite Departments

Departments, also known in some industries as Cost Centres are categories in NetSuite you create to separate and track records such as financials, transactions and employees. For example, you can create a department for each team of employees dedicated to a certain area of business, and then track income and expenses by each department over any given period of time.

Departments are listed on transactions and can be useful to designate transactions and employees as part of an internal team.
