Incident Reporting, Investigation & Management

Purpose

This policy seeks to ensure compliance with company policies and regulatory requirements relating to the reporting, investigation and correction of incidents, and collect accurate data for incident and injury prevention.

Scope

This policy applies to incidents related to all employees, contractors or visitors of Maintenance Essentials:

  • whilst present in any building or facility or on any ground owned, occupied or managed by the University; or

Workers’ Compensation

All employees, including part-time, temporary, and probationary employees, are eligible for workers’ compensation benefits in the event of an injury arising from, or in the course and scope of, their employment.

The process to be followed if an injury occurs is as follows:

  1. the first priority in the event of an injury at work is medical attention
  2. the injured worker or nearest colleague should initially contact one of Maintenance Essentials’s registered first aid attendants

Professional & Personal Development

Maintenance Essentials, in partnership with the employee, will maintain a professional and personal development plan for each employee. Maintenance Essentials role in this is as a supportive facilitator. It will be up to the employee to take a leading role in managing their own development within an approved structure.

Funding for professional and personal development will be considered for support by Maintenance Essentials on its merits.

Time-in-lieu

Time-in-lieu will be granted to those employees who are required by their manager to work outside of their normal job function. All time-in-lieu granted will be added to the employee’s annual leave.

Maintenance Essentials will maintain time-in-lieu register which will record time-in-lieu credits and debits. This allows management to provide time-in-lieu as a discretionary benefit. Generally, time-in-lieu should be taken within the same financial year within which it is accrued.

Time-in-lieu must be pre-approved by the appropriate manager.

SOP Inspection & Testing of Fire Alarm Systems - Yearly

Purpose

Periodic (Yearly) testing of fire alarm systems is mandatory in most cases where fire alarm systems are installed. These procedures set out the necessary equipment, processes and information necessary to to carry out this function safety and to collect all information necessary to prepare an annual customer condition report.

Target Audience

Technicians who carry out yearly fire alarm tests.

Key resettable Manual Call Point

One of the requirements of Australian Standard AS1851 is that building owners maintain a quantity of spare glasses for their manual call points.

Manual call points (MCP's) also know as break glass alarms (BGA's) and pull stations are not used as regularly as they have been in the past however they can still be found in many buildings.

Manuals are to provide concise descriptions, technical details, operating and maintenance instructions and schedules, commissioning records, log books, catalogues, principles of operation, method of operation and other information that will enable the on-going operation and maintenance of the fabric, services, plant and equipment.

Environment, Health & Safety - Responsibilities

Safety is the concern of all employees and, in addition, certain groups within Maintenance Essentials have specific responsibilities as follows;

Supervisors/Managers (any person who controls or directs others)

Supervisors are required, in association with appropriate personnel and the Environment Health and Safety Committee, to formulate and promulgate specific safety rules for activities conducted within areas under their control.
